JOB TITLE: Registrar & Family Liaison
LOCATION: Sheridan High School
WORK YEAR: 210 Days
SCHEDULE: 40 hours per week, Monday Friday. Work hours may be determined by manager and employee.
WORK STATUS: Classified, Non-Exempt
REPORTS TO: Principal
POSITION SUMMARY:
This position serves as a resource to the school(s) to effectively communicate to parents/community members the instructional goals of the school, assist with the assessment of the school\"s parental involvement efforts, create an inviting environment, and establish opportunities for parents to be collaborative partners in their students\" education. Will assist with translation and/or communication using second language skills. Responsible for student enrollment processing and maintaining a variety of student records. Correspond with other educational institutions, and work to develop and continue good community relations among various community and school patrons.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greet students, parents, teachers, and other visitors in the Counseling office to create a welcoming environment
- Work directly with Counselors, Social Workers and the School Psychologist.
- Assist students and parents with scheduling appointments
- Supervise student assistants, maintain attendance log, and post grades on IC.
- Maintain all student records and files, including Attendance and Behavior
- Per district guidelines, prepare files and documents for students withdrawing, seniors graduating, and discipline/attendance
- Insure student and parent information is accurate on Parent Portal, making connections as needed; assist parents with resetting password and/or setting up accounts
- Input grades and credits for all newly enrolled students; update transcripts by posting grade changes and posting new grades for credit recovery programs throughout the year
- Update student data on a regular basis and run Validation and Certify reports, making corrections as needed
- Assist Administration with One-Day October Count, filing reports per district guidelines
- Prepare Ad Hoc Reports
- Facilitate home visits as appropriate.
- Provide information on programs, services or resources per the social needs of the community. Partner with community organizations to increase resource base. This includes keeping the SOAR Academy website up to date.
- Work with leadership and parents to conduct annual needs assessments, plan activities and evaluate current strategies for increasing family and community involvement.
- Attend district training and meetings as required.
- Perform additional duties as requested
ENROLLMENT/WITHDRAWALS
- Collect choice enrollment forms; submit applications to administration and mail letters to parents/guardians of acceptance. Prepare District and Office Choice Enrollment spreadsheets, keeping enrollment information updated
- Enroll new students by collecting district required enrollment documentation and assist parents/guardians with Parent Portal/Infinite Campus
- Process Record Request for each new student by contacting previous school to receive official documents
- Work with other school registrars by enrolling and withdrawing students transferring in and out of the district
- Process withdrawal of students to all staff and then send official documents to receiving school
- Make student ID\"s for SOAR and SHS student who are new or lost their ID\"s
- Upload birth certificates into Infinite Campus (new students and incoming freshman)
TASKS FOR GRADUATION AND END OF THE YEAR
- Check accuracy of each Senior student\"s name by reviewing birth certificates, passport or legal documentation on file for diplomas
- Work with Administration by completing district end of year-of-year reports
- Assist Counselors with end of the year Naviance Reports, mailing final transcripts to respective colleges, universities or vocational/trade schools
- Work with District Vendor by ordering graduation diploma and diploma covers

QUALIFICATIONS:
Required
- High School diploma or G.E.D.
- Bilingual Spanish/English (oral and written communication skills)
- Operating knowledge of and experience with computers, word processing, spreadsheets, internet applications, and general office equipment
- Excellent organizational, presentation, time management, facilitation, mediation, and decision making skills.
- Ability to work with students and families with diverse backgrounds and abilities.
- Ability to diffuse volatile situations
Preferred
- Experience in an educational environment
- Experience in working with Infinite Campus

ESSENTIAL PHYSICAL REQUIREMENTS:
The usual and customary methods of performing the job\"s functions required the following physical demands: Interactions with families and students in an office setting with frequent sitting, standing and walking and signification fine finger dexterity. Generally, the job requires occasional lifting 5 to 20 pounds, bending, kneeling, reaching, stooping and squatting. This job is performed in a mostly clean and healthy environment with some noise.
CLEARANCE:
Must clear online background check and FBI Fingerprint check through Colorado Bureau of Investigation.
SALARY:
Initial salary placement on Class 1 of the Office Personnel Salary Schedule and is $21.98- $28.72/hour based upon previous related experience.
Please note: This is an at-will position with the Sheridan School District. The annual salary for this position will be determined by the number of hours scheduled to work each day and number of days scheduled to work each year. The computed annual salary will be spread out in equal payments over 12 months. Sheridan School District employees are paid once a month on the last working day of the month that is not a weekend day or holiday.

Employees who are scheduled to work 30 or more hours per week are eligible to obtain district health benefits which include medical, dental, vision, life and disability insurance and supplemental benefits. Positions that qualify for health benefits also qualify for leave which could include vacation and daily leave to be determined by the position and number of days assigned. Sheridan School District No. 2 is a public employer and participates in the Colorado Public Employees\" Retirement Association (PERA). All employees are required by state statute to contribute 11% of salary on a pre-tax basis to PERA and the District contributes 21% in addition to employee contribution.
