The Administrative Support II is responsible for a variety of routine clerical/administrative and staff support work with the Public Health and Environment team.

This position is a limited term appointment based on year to year funding renewals.


Salary Range: $23.81 - 32.21/hour

Essential Required Tasks/Examples of Duties

  • Performs routine receptionist/clerical/administrative tasks that may include providing customer assistance and information, data entry, accepting/processing payments, bookkeeping, sorting mail

  • Answers incoming phone calls, screen inquiries, route calls or visitors to appropriate departments, and manage customer appointments and meeting schedules.

  • Arranges appointments, assists in scheduling meetings, greets visitors, receives and responds to correspondence, and handles incoming and outgoing mail in an organized manner.

  • Performs administrative support tasks including typing, filing (physical and electronic), copying, and preparing reports and presentation materials.

  • Maintains filing and record systems, assists in tracking inventory, activity reports, receipts, memberships, and customer accounts, among other records.

  • Issues licenses and permits for public health programs following established protocols and criteria.

  • Provides administrative support to clinical programs including health record verification and appointment scheduling.

  • Operates multi-line phones, printers, copiers, and basic computer applications (word processing, spreadsheets) to support daily office operations.

  • Creates correspondence and business forms from rough draft

  • May prepare response to routine correspondence for Supervisor's signature following established procedures

  • Prepares routine and special reports and presentations

  • May prepare purchase orders and processes invoices as assigned

  • May involve some project work as assigned

  • May be required to work extra hours with advance notice

Minimum Qualifications

Education- High school graduate or GED equivalent - required.

Experience - 2 years of administrative support experience in an office setting - required.

OR

Years of related experience may be substituted for required education, however education cannot be substituted for the necessary work experience. Candidates must meet the minimum required years of work experience

NECESSARY SPECIAL REQUIREMENTS - New hires must, as a condition of employment, pass the following pre-offer and post-offer/hire processes: in-person or virtual interviews, reference checks, and background checks, which may include local police check and sex-offender registry.

  • Work may be scheduled Monday through Friday, and may include some holiday, weekend, and evening hours.

  • Regular, predictable attendance required

  • Work is performed at City/County work locations and may have the ability to perform some duties remotely in accordance with Broomfield's remote work policy and approval by the supervisor

  • While performing the duties of this job, the employee is regularly required to sit, lift objects and reach with hands and arms.

  • The employee must be able to move around the department in order to perform routine tasks: helping customers and attending meetings.

  • Physical demands are light and employees must sometimes push and lift items up to 10 lbs. to maintain safety and remove obstructions for community accessibility.

  • Employees perform basic tasks and routine work on computers and other electronic devices with software designated to complete work

  • In-person customer/client/team meetings required.
